ABBREVIATED SHP RESEARCH GUIDE
The abbreviated research guide outlines the MINIMUM required steps for conducting research at the School of Health Professions at Stony Brook University. This list is not a checklist for grants - please click here for information on grants. It is designed to ensure that you address pre-study, intra-study, and post-study actions to ensure compliance and facilitate effective communication. Please reach out to the School of Health Professions’ Director of Scholarship, Innovation, and Analytics (SIA) if you have any questions: hants.williams@stonybrook.edu

Internal Support Research
Technology:
Research Computing and Informatics (RCI):
The RCI provides informatics, cyberinfrastructure, and advanced computing needs of the Stony Brook Research community. Some but not all services that they provide:
- High performance compute (HPC) for ML/Ai model training and big data storage (https://rci.stonybrook.edu/HPC)
- RedCap for securely storing PII/PHI r/t studies (https://rci.stonybrook.edu/redcap)
- Network research drives (R-drive) for team based projects (https://rci.stonybrook.edu/r-drive)
- Grant consulting services related to technology needs (https://rci.stonybrook.edu/grant-consult)
Closing a Research Study
Study Closing:
If you had a IRB approved study, it will be necessary to close the study once the student has completed. A study may still be open if:
- Enrollment/Recruitment Ongoing: The study is still recruiting or enrolling subjects. Studies remain active until recruitment is permanently closed
- Interventions/Follow-Up Ongoing: Study-related interventions, clinical procedures, or follow-up visits with subjects are continuing
- Specimen/Data Collection Ongoing: The research team is still collecting biological specimens or identifiable data from subjects for analysis
- Identifiable Data Analysis Ongoing: The team is analyzing data or writing manuscripts using identifiable private information about subjects
- Funding/Sponsorship Active: While IRB activity is not tied to grant end dates, ongoing funding or sponsor involvement may imply the study continues. SBU does not require IRB approval solely because funding is active; however, if funding ends but data analysis or other research remains, the study should stay active until those activities cease. Studies under sponsor mandates (e.g. clinical trials) may require sponsor permission to close
- PI or Key Personnel Active: The PI remains affiliated with SBU and intends to continue the study. Studies should be closed if the PI departs without transfer to another qualified SBU investigator
- Other Oversight Requirements: Any external requirements (e.g. data monitoring, registry reporting, or multi-site IRB commitments) that imply the study is still “open” should be considered.
Otherwise, if non of these are applicable and you are ready to close off your study, please review this document: https://docs.google.com/document/d/1VqtME6Et2yqJa5HvQh-jHG55X8ssIHFjT8beoYWaasA/edit?usp=sharing
For any questions, please be sure to reach out to the Director of Scholarship, Innovation, and Research.
External Data Resources
Available data resources for secondary analyses for Stony Brook faculty and staff:
TriNetX
TriNetX is a web-based tool for research population cohort and feasibility queries that also enables researchers to collaborate with peers at other member institutions. For a video describing more, please view here. For access and more information please visit https://rci.stonybrook.edu/trinetx
N3C
The N3C COVID Enclave is the largest open U.S. database for ongoing COVID-19 research. Researchers and clinicians have used this national resource to reveal risk factors for Long COVID, help health care providers choose effective treatments, and so much more. For more information, please visit https://ncats.nih.gov/research/research-activities/n3c/overview
All of Us
The All of Us Research Hub, part of the National Institutes of Health (NIH) All of Us Research Program, stores health data from a diverse group of participants in the All of Us research program. The Research Hub has tiered levels of access to participant data: public data (no login required); registered data (login required); and controlled data (additional approval required), that incorporate strict data use policies.
